Setting Up Your State and Billing Exports

In order for your service to send patient care data to your state or billing company, a service administrator must configure your exports by following these steps.

IMPORTANT! A web service must be configured for your service to submit charts to your state or billing company. Please contact ZOLL Support to add the state or billing web service to your ZOLL emsCharts service. Failure to do so will result in charts not sending to your state or billing company.
  1. Go to ConfigurationServiceExport. Make sure your 'General NEMSIS Export Configuration' options are setup properly.

    Important! If you need to report NEMSIS data to multiple states, make sure to set the 'Determination' field to the 'By Both Ref/Rec States' option.

    Determination choices and logic

    1. By Selected Dataset (Default): The dataset for the value selected in the Service's Default Dataset field.

    2. By Base Site State: The dataset of the region for the value selected in the Page 1 - Base field. If the Base's region is blank, the dataset for the Base's state will be used.

    3. By Unit State: The dataset of the region for the value selected in the Page 1 - Unit field.

    4. By Referring State Only: The dataset selected for the Page 1 - Referring / Scene Location. If the location is a Hospital, the region of the Hospital's county will be used. If the location is EMS or Other, the region of the documented county will be used.

    5. By Receiving State Only: The dataset selected for the Page 1 - Receiving / Destination Location. If the location is a Hospital, the region of the Hospital's county will be used. If the location is EMS or Other, the region of the documented county will be used.

    6. By Both Ref/Rec States: Uses the same logic as options 4 and 5, but will do it for both the Page 1 - Referring / Scene and Receiving / Destination Locations. If the locations are in the same state, only one NEMSIS export will be generated.

    7. By Base Site Region: Uses the same logic as option 2, but if there is no regional dataset, the state of the region is used instead of the state of the Base.

  2. Under the 'NEMSIS Version 3 ONLY' section, set the 'V3 Messages Inline' field to 'Show ERROR and WARNING messages inline'.

  3. Staying on the Export tab, click the 'State-Specific Configuration' section Select State drop-down to see a list of the all the exports currently added to your service. You can select an existing export to review or change the configurations.

    Notes:

    • If you already have an export for the state you report to, skip to step 3 to review or change the configurations.

    • If you already have a billing (BILL) export but need to change the billing company it is exporting to, or your service needs to export to a second billing company, please contact ZOLL Support.

  4. Select the appropriate state or billing option from the 'Add NEW Export' section Select drop-down and click ADD. If you are adding a billing export, please download, complete, and submit the 3rd Party Billing Access Form under Support > Support Documentation > Documents in ZOLL emsCharts Web.

    Note: You cannot have more than one billing (BILL) export per ZOLL emsCharts service. If your service needs to send data to more than one billing company, please contact ZOLL Support.

  5. Use the 'State-Specific Configuration' section Select State drop-down to select the new export option.

  6. Click General Configuration and complete all the configurations that apply to the export. Click SAVE when done.

  7. Complete any of the remaining configurations that apply to the export.

    • Unit Configuration - add alternate information to export for your units.

    • Tail/Reg Configuration - add alternate information to export for your units if your service uses unit numbers from the 'Unit Tail / Registration' code table.

    • Base Configuration - add alternate information to export for your base sites.

    • County Configuration - add alternate information to export for the counties your service operates in.

    • Attachment/Image Configuration - choose the attachment types that should be included in your export.
